The front desk for resorts and lodges, built at one.
Wayhouse puts your calendar, online booking, card payments, guest texts and the day's arrivals in one place. It was built by a resort owner and runs his lodge on Lake of the Woods.
The demo is a made-up resort. It sleeps when nobody is using it, so the first load can take up to a minute.
What it fixes
Most resort software was built for hotels or vacation rentals. A lodge has cabins, guides, add-ons, deposits months ahead, and one person at the desk doing all of it.
- The phone rings while you're with a guest.
Ava, the AI phone agent, quotes real prices, books the stay as a hold and texts the guest a link to pay the deposit.
- Deposits and balances live in a notebook.
Wayhouse takes the deposit when the guest books, tracks what's owed, and can charge the balance to the saved card.
- Guests can only book when the office is open.
Online booking runs on your website day and night, with prices and availability from the same calendar staff use.
- Month-end means retyping everything for the accountant.
Reports cover revenue, taxes, deposits and refunds, and a QuickBooks journal file is ready to import.
One system for the whole stay
From the first call to the thank-you text. Each part can be switched on or off, so you only see what your property uses.
Booking calendar
Every unit by night in one strip that slides sideways with a finger, trackpad or arrow keys. Tap an empty night to start a reservation there or block the unit for repairs.
- Waiting list for dates that are full
- Out-of-service blocks
- Arrivals and departures for today at the top
Online booking and card payments
Guests pick dates, see real prices and pay the deposit by card on your website. Cards run through Stripe, with pay links, saved cards and an optional card fee.
- Deposit at booking, balance later
- Automatic balance charges to the saved card
- Refunds and credits tracked on the bill
Guest texts and emails
Confirmations, deposit reminders, before-you-arrive and thank-you messages go out on their own. Guest replies land in a shared Inbox.
- Edit every message in your own words
- Send one message to many guests at once
- Emailed statements
Check-in and check-out
The Today board shows who's arriving, who's leaving and what they still owe. Guests can check in online, sign the registration card and pay from a private trip page.
- Printable registration cards
- Housekeeping board: dirty, cleaning, clean, inspected
Guides, add-ons and gift certificates
Add guided trips, meals, shuttles and rentals to a stay. Assign guides and text them their trips. Gift certificates, specials and packages come off the bill correctly.
Reports and QuickBooks
Revenue, future revenue, tax summary, deposits due, refunds, cancellations, vacancy and an end-of-day till. A QuickBooks journal export maps each charge to your accounts.
Ava answers the phone and books the stay
Ava is an AI phone agent connected to your live calendar and prices. She uses the same rules as your staff screens.
- Checks open dates and quotes the exact price with tax
- Books the stay as a 24-hour hold and texts and emails the deposit link
- Finds a caller's own reservation and resends confirmations or pay links
- Takes messages for changes and cancellations and sends them to your managers
Ava never takes card numbers by voice. The caller pays on the same secure page as online guests.
Do you have a cabin for four, July 10th to the 14th?
Cabin 2 is open those nights. Here's the total with tax, and the deposit that holds it. The rest is due before you arrive.
Great, book it.
Done. I'm holding it for 24 hours and texting you a link to pay the deposit.
Reservation added to the calendar as "Booked by phone with Ava"
Built by a resort owner, at a working lodge
Wyatt Hennum owns Hennum's Oak Island Lodge on Lake of the Woods in northern Minnesota. He built Wayhouse to replace the lodge's old booking system, around the way a lodge actually runs.
It was shaped around the real work of a lodge front desk, guides and kitchen. Now it's ready for other resorts and lodges.
- Where
- Lake of the Woods, Minnesota
- What it runs
- Condos, villas and inn rooms, guided fishing, meals and shuttles
- Who built it
- The lodge's owner, for his own staff
Try it on a made-up resort
The live demo is Pine Point Resort, with sample guests and bookings. Pick a staff role and click around. Texts, emails and card payments are pretend, and the demo resets itself.
It sleeps when nobody is using it, so the first load can take up to a minute.
Questions
Does it work for campgrounds and RV parks?
Not fully yet. Wayhouse runs a lodge today, and campsites can be added as units. Hookups, site types, rig length and monthly or seasonal stays are coming soon. See what's planned.
Will guests see the Wayhouse name?
No. Booking pages, texts, emails and statements use your property's name, logo and colors.
How do card payments work?
Through your own Stripe account. Money goes to you, and Wayhouse records each payment and refund on the guest's bill.
Does it connect to QuickBooks?
Wayhouse makes sales and journal files you import into QuickBooks, with each charge mapped to the account you choose. It doesn't sync live.
Can I bring my bookings over from my current system?
Wayhouse has an importer for Reel Property Solutions that brings customers and reservations across. If you use something else, tell us what it is and we'll talk it through.
Does it work with Airbnb, VRBO or Booking.com?
Yes, through calendar sync. Each unit shares its booked dates, and dates booked on those sites are blocked in Wayhouse.
What does it cost?
Pricing isn't published yet. See the plans and get in touch for a quote.
